Read this once — it applies everywhere in the app.
Accessing the app
Open your institution's web address (e.g. yourschool.kush-edu.com). Each institution sees only its own data.
Click Sign in and enter the email/username and password your administrator gave you.
To leave, click your profile avatar (top corner) and choose Sign out.
The top bar
Back — returns to the previous page.
EN / عربي — switches the whole app between English and Arabic.
Home — returns to your Dashboard.
Avatar — your account menu and Sign out.
The universal save pattern
Fill the fields, then click the main button (Create / Save / Add).
A green ✓ confirmation appears on success.
Fields marked required must be filled or the form won't submit.
If you see "You don't have access", your role lacks permission for that page. An administrator can grant it in Settings → Roles & permissions.
A gold "Demo mode — read-only tour" banner means nothing you change is saved.

Dashboard
Everyone
Your home screen — the modules your role can open.
After sign-in you land here automatically (or click Home anytime).
Each module appears as a card. Click Access [module] (or the card) to open it.
You only see modules your role is allowed to use.

Admissions
Admissions staff · Registrar · Admin
Receive applications, review them, accept or reject, and email acceptance letters.
2.1 · Applications list
Open Admissions from the dashboard.
You see a table of applicants: Applicant, Program, Source, Status.
New applications arrive automatically from your public website.
Click any row to open that application.
2.2 · Application detail
The page shows the applicant's submitted details (read-only): Email, Phone, Country, Destination, Institute applied to, Program, Education level, Source, Message. To set the status, click one of:
Accept & create student — approves the applicant and creates a student record with a QR identity.
Mark under review — flags it as being evaluated.
Waitlist — places them on the waiting list.
Reject — declines the application.
After "Accept & create student", a confirmation shows the new student number and that a QR identity was issued. The person now appears under Students.
2.3 · Evaluations (screening)
From Admissions, open Evaluations.
Click Evaluate all to score every application, or Run on a single row.
Read the Score, Band (Strong / Consider / Weak / Incomplete) and Notes.
Score = documents (40) + education level (30) + statement & contact (30). It's guidance only — it never accepts or rejects for you.
2.4 · Acceptance letters
Open Acceptance letters (only accepted applicants appear).
Click Preview & send on an applicant.
Edit the Subject if needed.
Edit the letter body (your edits are saved to this applicant).
Click Send by email. A ✓ Sent marker confirms it.

Students
Registrar · Admin · Academic staff
Manage enrolled students, register them into courses, handle documents, and print transcripts.
3.1 · Students list
Open Students. The table shows Student #, Name, GPA, and a QR code.
Students appear here after you accept their application.
Click a row to open the student.
3.2 · Registering into courses
Choose the program
Under Program & study plan, pick the Program.
Set the Current semester, then Save.
Register courses
Flexible program: tick the courses for this term, then Register selected.
Fixed program: click Auto-register Semester [n] to register the whole block at once.
"No open term" means an administrator must set a term's status to open first.
3.3 · Documents
Under Documents, each row offers Verify, Reject, or Delete. Students upload their own documents from the portal; you review them here.
3.4 · Transcript & certificate
Open the Transcript — it lists coursework, credits, and GPA. Click Print / Save as PDF.
For graduation, click Print certificate.
If the student isn't "graduated", a warning appears. Issue a real certificate only once all requirements are complete.

Programs & Curriculum
Academic admin
Define programs, their curriculum (courses by semester), and how students register.
4.1 · Create a program
Open Programs.
Under New program, fill Name, Code, Number of semesters.
Choose Registration: Flexible (student picks each term) or Fixed (admin assigns a block).
Click Create program.
4.2 · Build the curriculum
Open a program; adjust Name, Code, Semesters, Status and click Save changes.
Under Add a course to the curriculum, choose the Course, Semester, and Type (Required / Elective).
Click Add. Repeat for each course.
"Manage sections" creates class offerings; "View public page" opens the public program page.

Sections
Academic admin · Teachers
A section is one offering of a course in a term — its roster, schedule, grades, attendance, and assignments.
5.1 · Create a section
Under New section choose Term, Section code, optional Teacher, Capacity, and Status.
Click Create section.
5.2 · Section workspace
Register a student
Under Register a student, pick from Select a student… and click Register. (Use Drop to remove.)
Meeting times
Choose Day, Start, End, Room, then Add. Repeat per weekly slot.
5.3 · Gradebook
Add a component: Name, Weight, Max score.
Type each student's score in the cell and click save.
When done, click Post final to compute the letter grade and update GPA.
5.4 · Attendance
Create a session: Date, optional Topic, then Create.
Mark via QR check-in (scan/paste a code → Check in) or manually: Present / Absent / Late / Excused.
5.5 · Assignments
New assignment: Title, optional Instructions, then Create assignment.
Record a submission: pick the Student, add a note/link, click Add submission.
Grade: enter points and feedback, click Grade.

Teaching & Grading
Teachers · Admin (for assignments)
Teachers manage their own sections and grade work, with optional AI help.
6.1 · My Teaching
Open Teaching & Grading — you see the sections you teach.
If empty, ask an admin to set you as the section's teacher.
6.2 · Create an assignment
Fill Title, Instructions, Max points, optional Due.
Optionally attach a Required reading chapter, then click Create.
6.3 · Grade a submission
Open an assignment, then Open to grade on a student.
Read the submission. Optionally click ✨ AI draft feedback for a suggested score & comment.
Enter the final Score and Feedback, then Save grade.
The AI never saves a grade by itself — always review and edit before saving.
6.4 · Assign teachers (admin)
Open Assign Teachers to Sections.
For each section, pick the staff member and Save. They then see it under "My Teaching".

Finance
Finance staff · Admin
Invoices and payments, payroll, expenses, vouchers, fee structures, and reports.
7.1 · Finance hub
Shows KPIs (Total billed, Collected, Outstanding) and cards for each area. To create an invoice: pick a Fee structure, optional Term, click Issue.
7.2 · Fee structures
New structure: Name + currency, then create.
Open it and add items: Charge label + amount, click Add item.
7.3 · Invoice detail
Set a Due date + note, click Save details.
Add a charge: label + amount → Add charge.
Record a payment: amount, method (Cash / Card / Bank transfer / Scholarship / Other), reference → Record.
7.4 · Staff & payroll
Set a salary: pick the Staff member, Job title, Base monthly → Save salary.
Run payroll: Label + optional month → Create run (generates payslips).
Review payslips (Gross / Deductions / Net), then Email payslips to staff.
7.5 · Expenses
Choose a Category, enter Payee, amount, optional note, then record it.
7.6 · Payment vouchers
New voucher: Voucher no., Payee (required), amount, Purpose, Approved by, then Save.
7.7 · Financial reports
Set From and To dates, click Apply, and review Income, Surplus/Deficit, Outstanding, and Expenses by category.

Settings
Administrators
Users, roles, announcements, your public page, branding, and the e-library.
8.1 · Users
Under Add a user: Full name, Email, optional username/phone, Temporary password (min 8).
Tick the Roles, then Create user. Give them the temporary password.
To give an existing person a login, open them, set a password and click Save & Create Login. Use Suspend/Activate or Delete as needed.
8.2 · Roles & permissions
Add a role: Role name + description, click Add role.
For each role, tick its permissions, then Save permissions.
8.3 · Announcements
New announcement: Title + Body.
Choose Audience (Everyone / Students / Staff) and status (Draft / Published); optionally Pin.
Click Create announcement. Published ones show in the student portal.
8.4 · Institution page (public site)
Fill the English fields and matching Arabic fields: Tagline, About, Student life, Faculty.
Add a Hero image URL and Gallery URLs (one per line).
Enter Contact email, phone, address. Tick Show the Apply form if desired.
Click Save; use View public page to preview.
8.5 · Branding
Paste a public logo URL (transparent PNG/SVG works best) and click Save logo. Empty = the institution name shows instead.
Open it and add chapters: Chapter title + text → Add chapter.

Scan ID
Staff — gate, library, dining, attendance
Validate a student's QR identity.
Open Scan ID and point the camera at the QR code — it validates automatically.
No camera? Paste the scanned code and click Validate.
The result confirms a valid student, or explains why not (expired, revoked, invalid).

Platform Admin
Platform owner only
Create and manage the institutions (tenants) on the platform.
Open Platform Admin.
New institution: Institution name, slug (subdomain), default language → Create institution.
The table lists every institution with its subdomain, mode, and status.

Student Portal
Students
Where students see their own information and act on it.
My Profile & QR ID — view details; Generate my QR ID if none; "Show full screen" to present it.
Grades & GPA — grades per course and cumulative GPA.
Attendance — overall rate and recent sessions.
Timetable — the weekly class schedule.
Course Registration — when open, tick available courses and register (Full sections can't be taken).
Fees & Payments — invoices and balance.
Documents & Visa — upload a file with number, country, issue/expiry dates → Upload. The registrar reviews it.
Announcements — institution news.
Assignments & Results — read required reading, type a submission, Submit; later see Result and Feedback.
Library — open a book and read chapter by chapter.

Prospective students · Visitors (no login)
What visitors see before signing in.
Programs — browse programs; open a curriculum to see courses by semester.
Grading Structure — the standard letter-grade scale.
Application Status — enter the application email and click Check status to see Submitted, Under review, or a Decision.

Parent Portal & Transport
Parents · Administrators
Parents sign in with their own account to follow their children — attendance, fees, and the school bus.
13.1 · Set up a parent account (admin)
In Settings → Users, create the parent's account (name, email, temporary password). No roles are needed.
Open Settings → Parents.
Under Link a parent to a student, choose the Parent (user), the Student, and an optional Relationship, then click Link.
Repeat for each child. Use Remove to unlink.
One parent can be linked to several children, and one student can have several linked parents.
13.2 · What the parent sees
The parent signs in normally — they land on the Parent Portal automatically.
Each linked child appears as a card. Open a child to see:
Attendance — overall rate, by-course table, and recent sessions.
Fees — invoices, payments, and the balance (read-only).
Transport — the child's bus route, driver name and phone, and pickup point.
13.3 · Transport (admin)
Open Transport from the dashboard.
Under Add a route: Route name, optional Vehicle, Driver name, Driver phone, Capacity → Add route.
Open a route. Under Assign a student, pick the Student and a Pickup point, then Assign.
The route page shows riders vs capacity. Use Remove to take a student off the route.
Each student can be on ONE route at a time — assigning them to a new route moves them automatically. Parents see the route details instantly in the Parent Portal.
